📖 User Guide — 737 Premium Cabin v3.3

✈ Overview

Version 3.3. This app is designed for WestJet 737 Premium Cabin cabin crew to take and manage meal and beverage orders for all 12 seats (Rows 1–3, seats A/C/D/F). It works fully offline after the first load and auto-saves your data to the device's storage as you work.

It is intended to run only on the company-issued iPad mini used in the cabin (Safari, or the same device with the app added to the Home Screen).

💡 On that iPad mini, landscape is usually the most comfortable way to use the seat map.

🍷 Step 1: Flight Wine Setup

Before boarding, open the FLIGHT WINE SETUP section and select the wines loaded on your cart:

  • Red Wine 1 & 2 — Select from the dropdown (Botter Chianti, Sumac Ridge Red, East Dell Black Cabernet, Magnotta Equus)
  • White Wine 1 & 2 — Select from the dropdown (Henry of Pelham, Sumac Ridge White, De Bortoli Chardonnay, High Road Pinot Grigio)
  • Sparkling 1 & 2 — Bottega Gold or Bottega Millesimato Brut
  • Red/White Wine 3 & 4 (Custom) — Free text fields for any wine not in the standard list. Type the name and it auto-populates into all beverage and wine dropdowns.
💡 Selected wines automatically appear in the Post T/O Bev, Wine w/ Meal, and 2nd Bev dropdowns for every seat.

🍽 Step 2: Meal Descriptions

Open the MEAL DESCRIPTIONS section:

  • NON-VEG — Type the non-vegetarian meal description (e.g. "Omelet w/ sausage, hash brown, fruit")
  • VEG — Type the vegetarian meal description (e.g. "Cinnamon French toast, berry compote")
  • NON-VEG LOADED / VEG LOADED — Enter the number of each meal loaded by catering

The meals you type will automatically appear in the Meal dropdown for each seat, prefixed with NV: or V:. The inventory tracker shows loaded vs ordered vs available in real time.

💡 The Meal dropdown also includes TSU Only & No Meal.

🎨 Meal Colour Coding

Once a meal is selected, the dropdown highlights with a colour so you can quickly scan during delivery:

  • Pink/Red — Non-vegetarian meal
  • Green — Vegetarian meal
  • Yellow — TSU Only
  • Grey — No Meal

👤 Step 3: Guest Orders (Seat Map)

Take all orders from the SEAT MAP. Tap a seat to open the quick-entry sheet for that guest. Fields match the full order set:

  • Seat / Vacant — Tick Vacant if there is no passenger: that clears the seat's orders and locks fields until you untick it. With Show unfilled only, vacant seats stay visible on the seat map so the 12-seat layout stays aligned.
  • Post T/O Bev — Post-takeoff beverage. Includes water, juices, soft drinks, beer (People Skills: An easy-drinking blonde ale; Golden Hour: A hazy, refreshing pale ale; Local Legend: A light craft lager (3.5% ABV)), spirits (Vodka, Rum, Rye, Gin, etc.), hot beverages (coffee, teas, hot water), and loaded wines. Select "None" if declined.
  • Mixer/Add-On — Dynamic! Changes based on the beverage selected (see below)
  • L/L — Lemon, Lime, or Lemon & Lime
  • Ice? — Checkbox (tick = yes)
  • Meal — Select the guest's meal choice (colour-coded)
  • Wine w/ Meal — Wine with meal (loaded wines from setup) or No Wine if the guest is not having wine.
  • Hot Bev — Coffee, English Breakfast Tea, Peppermint Tea, Green Tea, or Hot Water
  • Hot Bev Add — Dynamic! Add-ons for hot beverage (see below)
  • Wake? — Yes/No for whether to wake sleeping passenger
  • 2nd Bev — Second beverage before descent
  • 2nd Mixer — Mixer for second beverage
  • L/L — Lemon, Lime, or Lemon & Lime for second beverage
  • Ice? — Checkbox (tick = yes) for second beverage
  • Notes — Free text for allergies, special requests, etc.

The SEAT MAP shows all 12 seats in cabin-facing order (row 3 at the top through row 1 at the bottom; F–D–C–A). Each box is colour-coded by meal type only; all other fields appear inside the box. Long meal text and notes use a two-line clamp with the full text on press/hover (tooltip).

Seat map quick entry: Tap a seat on the map to open a sheet for that guest only. Changes save immediately for that seat. Tap Done or the dark backdrop to close.

Unfilled filter: Under the map, Show unfilled only hides seat-map cards for guests who already have post T/O, meal, and a wine choice (any loaded wine or No Wine). Vacant seats remain on the map (still labeled Vacant) so the cabin grid does not shift. Incomplete non-vacant seats show a dotted highlight.

⚡ Dynamic Mixer Behaviour

The Mixer/Add-On column intelligently changes its options based on what beverage is selected:

  • Coffee selected → Shows coffee add-ons: Black/Plain, JD Shore, Milk (1–4), Cream (1–4), Sugar/Sweetener combinations
  • Tea or Hot Water selected (English Breakfast, Peppermint, Green, Hot Water) → Same add-ons but without JD Shore
  • Any other beverage → Standard mixers: Coke, Diet Coke, Sprite, Ginger Ale, juices, Tonic, Club Soda, Water, etc.

The same dynamic behaviour applies to the Hot Bev Add column based on the Hot Bev selection, and to the 2nd Mixer based on 2nd Bev.

🔥 Seat Highlighting

Tapping a seat on the map highlights that seat and opens the quick-entry sheet. Close the sheet or tap elsewhere to continue.

📷 Focus mode

Tap Focus in the header for a larger seat map and type; wine and meal setup sections collapse so you can work from the map. Tap section titles to expand wine or meals again. Your choice is remembered.

🌙 Night Mode

Tap Night Mode in the header for a dark theme designed for dimmed cabin lighting during red-eye flights. All text, dropdowns, seat numbers, and meal colours are adjusted for visibility. Your preference is remembered between sessions.

⚙ Form Actions

  • Save Form Locally — Saves all current data on the company iPad mini. Data also auto-saves every time you make a change. With Add to Home Screen, your data persists between sessions on that device.
  • Load Saved Form — Restores the last saved form.
  • New Flight — Clears all guest orders and meal descriptions but keeps your wine selections for the return leg.
  • Clear All — Resets everything to blank (requires confirmation). After New Flight or Clear All, an Undo bar appears briefly.

📤 Export & Share

On the company iPad mini, Save as PDF and Export to Excel use Safari’s Share sheet when available—save to Files, send by Mail or Messages, use AirDrop to another crew iPad, or follow your airline’s file-handling rules. If Share is not offered, the file downloads instead.

  • Flight # & Date — Flight number is digits only (Safari on iPad mini usually shows a numeric keypad). Date uses the built-in calendar control; the field stays blank until you choose a date (nothing is pre-filled on tap).
  • Save as PDF — Landscape PDF with flight/date (optional fields above the buttons), wine setup, meal descriptions, and the full guest order table. Long text wraps instead of overlapping.
  • Export to Excel — .xlsx spreadsheet with three sheets: "Guest Orders" (seat order 1A\u20133F), "Seat map snapshot" (same columns in cabin-facing map order), and "Flight Setup" (wines, meals, loaded counts).
💡 Keeping a copy: From the Share sheet, Files or Mail to yourself are easy ways to keep PDF/Excel on the company iPad mini.
💡 Crew handoff: AirDrop works between nearby company iPads when your operation allows it.
⚠ IMPORTANT — First-Time Setup: Open the app once with Wi-Fi/internet to cache the export libraries. After that, both exports work fully offline. If you ever see "library not loaded," simply open the app once with internet and try again.

📡 Offline Capability

This app is a Progressive Web App (PWA). After your first visit with internet:

  • The app itself loads from cache — no internet needed
  • All export libraries are cached — PDF and Excel work offline
  • Form data auto-saves to your device's storage every time you make a change
  • An OFFLINE MODE badge appears in the header when you have no connection
⚠ Don't lose your work! Always tap Save Form Locally before closing the app on the company iPad mini. You can also export to PDF or Excel as a backup before closing. With Add to Home Screen, your data persists between sessions on that device.

📱 Installing as an App (Recommended)

The form is built for the company-issued iPad mini. In Safari, tap the Share button (✍) → Add to Home Screen so it opens like a dedicated app with fewer browser bars.

  • Same iPad mini: data persists between sessions
  • Works fully offline in the cabin after export libraries are cached once while online
